Your household evidence is not content for us to exploit.

What we store

Your private vault may contain household membership records, room and possession details, estimated replacement values, uploaded photographs, videos, receipts, warranties, appraisals, statements, and maintenance records.

How evidence is protected

Original files are stored in private object storage. Searchable metadata is stored separately. Server-side authorization checks are required before household data or evidence can be accessed. Evidence responses are private, sandboxed where supported, and are not cached publicly. Uploads are limited to listed formats and checked for a matching file signature; this does not replace comprehensive malware scanning.

Automated processing

When you choose Analyze for a supported photograph, Proofbook prepares a smaller analysis copy in your browser and sends that copy to the OpenAI API to suggest visible item names, categories, brands, models, serial numbers, and replacement categories. Your original remains untouched in private storage. Proofbook requests that the API response not be stored by OpenAI and records analysis status and usage for allowance and service-cost controls. Automated results can be incomplete or wrong and remain unverified suggestions until a household member reviews them. Files you do not choose to analyze remain in Proofbook's private evidence storage.

Website measurement

Proofbook records daily aggregate counts for a small set of actions such as selecting a landing-page invitation, starting checkout, and beginning a trial. These measurements do not store an advertising identifier, cookie, IP address, household record, evidence detail, or browsing history.

Billing

Stripe securely processes checkout, payment methods, invoices, and subscription management for existing subscribers. Proofbook stores Stripe customer and subscription identifiers, subscription status, and renewal timing—not full card numbers. New purchases are disabled during the closed beta.

Household sharing and claims

The household owner can invite another trusted person, remove a member, or transfer ownership. Every household member can access the household's rooms, inventory, private evidence, exports, and AI suggestions, so invitation codes should be shared privately and only with someone you trust. You choose when to create or download an inventory package. A Proofbook inventory is a household-maintained record and does not guarantee insurance coverage, valuation, or claim approval.

Retention and deletion

Your records remain until you delete individual evidence or the household. Deleting evidence removes its private object and database record. Household deletion removes database records and original evidence after the confirmation control is completed. Limited billing and operational records may be retained when required for accounting, fraud prevention, dispute handling, or law.

Your choices

You can download a structured export, download individual evidence, remove item and evidence records, and permanently delete an eligible household and its original files from the private vault.
